Terms & Conditions of Registration and Conditions of Entry

Registrations are only confirmed once a booking confirmation has been issued. Places are limited and allocated on a first-come, first-served basis. It is your responsibility to check names on your confirmation.

If you are unable to attend, please notify us as soon as possible. Your place may be transferred to another person at any time up to 48 hours before the Event (see 1.3). This does not affect our right to amend or cancel the Event as set out below (see 1.4).

Places may be transferred to another attendee by notifying us in writing at least 48 hours before the Event, so name badges and catering numbers can be updated.

We reserve the right to change the date, time, venue, catering supplier, format or content of the Event where reasonably necessary (for example, for reasons of safety, venue availability, speaker availability or circumstances beyond our control). Where we make a material change or cancel the Event entirely, we will notify registrants as soon as reasonably possible. We are not liable for any costs incurred by you as a result of a change or cancellation, including travel or accommodation.

Information you provide when registering (including accessibility information) is used solely to administer your registration and the Event, and is processed in line with our privacy policy, available at www.stemracing.com/privacy-policy.

• Entry is by valid registration confirmation or confirmed guest name only; photo ID may be requested.

• We reserve the right to refuse admission or to remove any attendee who behaves in a disorderly, dangerous, threatening or offensive manner, or who is believed to be under the influence of drugs or excessive alcohol.

• Reasonable instructions from Event staff and venue security relating to safety and conduct must be followed at all times.

Official photography and filming will take place at the Event for reporting, marketing and promotional purposes, and by attending you consent to being filmed or photographed and to that footage being used by us and our partners. If you do not wish to be photographed, please inform Event staff on arrival so reasonable steps can be taken. Personal photography/filming by attendees is permitted for personal use only and must not disrupt the Event or other guests.

Attendees under the age of 18 must be accompanied at all times by a parent or guardian, or another responsible adult named on the booking, who takes full responsibility for their supervision and conduct throughout the Event.

Attendance is at your own risk. Save for death or personal injury caused by our negligence, or any other liability that cannot be excluded by law, we accept no liability for any loss, damage, injury or expense arising from your attendance at the Event. Personal belongings remain your own responsibility at all times; we accept no liability for lost, stolen or damaged property.

The running order, timings and content of the Event (including sessions, presentations and catering) may be adjusted on the day at the Organiser's discretion. We will make reasonable efforts to keep attendees informed of any significant changes via Event staff or announcements on site.
